We treat your data with the same care we ask our customers to expect from any vendor: only what we need, only for the reason we said, kept only as long as it serves you, and protected with proper technical and contractual safeguards. 2Who we are (data controller)

For the purposes of the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018 ("DPA 2018"), the data controller is:

We are not currently required to register a Data Protection Officer, but the Director with responsibility for data protection is reachable at the address above.

3Key definitions

"Personal data" means any information that, on its own or combined with other information we hold, can identify you.

"Processing" means anything we do with your personal data — collecting, recording, storing, using, sharing, or deleting it.

"You" means a website visitor, prospective customer, customer, supplier, partner applicant, or other individual whose data we hold.

"We" / "us" / "our" means FlyWei Professional Ltd trading as FlyWei Robotics.

"UK GDPR" means the UK General Data Protection Regulation as it forms part of UK law by virtue of section 3 of the European Union (Withdrawal) Act 2018 and the DPA 2018.

"PECR" means the Privacy and Electronic Communications (EC Directive) Regulations 2003, as amended.

"ICO" means the UK Information Commissioner's Office.

4The personal data we collect

We collect only the categories of data we genuinely need for the purposes set out below.

Identity & contact data: name, job title, employer, work email, telephone number, postal address, country.

Enquiry content: the question or message you send us through the contact form, the chat assistant, or by email.

Transaction data: if you place an order or sign a partner agreement — purchase order references, billing address, services or products purchased, delivery details, invoice references. We do not collect or store full payment-card data on our website (payment is handled by our regulated payment processors).

Technical data: IP address, browser type and version, operating system, device identifiers, time-zone, referring URL, the pages you visit, and the timestamps of those visits. This is collected automatically when you visit the website.

Marketing & preference data: your consent state for cookies and marketing emails, the date you gave it, and any subsequent withdrawal.

Aggregated / anonymised data: statistical data derived from the above which cannot identify you (e.g. "47 visitors looked at the autonomous-forklift page yesterday").

We do not deliberately collect any "special category" data under Art. 9 UK GDPR (health, biometric, genetic, racial origin, political, religious, trade-union, sex-life data) and ask you not to send such data via our forms.

5How we collect personal data

Directly from you: when you fill in the contact form, submit a partner application, request a quote, attend a meeting or demo, send us an email, call us, or chat with our website assistant.

Automatically: through cookies and similar technologies when you visit the website (details in section 9 below).

From third parties and public sources: Companies House records and the public website of your employer, business directories (for sales prospecting), credit reference agencies (for trade-credit decisions), and our partner programs (e.g. customer introductions made via SEER Robotics where FlyWei is the local delivery partner).

6Our lawful basis for processing

Under Art. 6 UK GDPR we may only process your personal data if at least one of the following lawful bases applies. We have mapped each of our processing activities to a basis:

To respond to your enquiry or quote request — Lawful basis: pre-contractual steps at your request (Art. 6(1)(b)).

To fulfil an order or perform a partnership agreement — Lawful basis: performance of a contract you are party to (Art. 6(1)(b)).

To run, secure, and improve the website — Lawful basis: our legitimate interest in operating a safe and usable website (Art. 6(1)(f)). We have completed a Legitimate Interest Assessment and the impact on you is minimal.

To send you marketing emails about our products and services — Lawful basis: your consent (Art. 6(1)(a)) where you are an individual subscriber. For existing customers we may rely on the "soft opt-in" exception under Reg. 22(3) PECR — you can opt out at any time, free of charge, in every email.

To meet our HMRC, accounting and tax obligations — Lawful basis: legal obligation (Art. 6(1)(c)).

To protect our business and pursue or defend legal claims — Lawful basis: legitimate interest (Art. 6(1)(f)) and, where relevant, establishment, exercise or defence of legal claims.

7How we use your personal data

We use the data for clearly defined purposes, and only the data needed for each purpose:

• replying to enquiries and providing quotations;

• processing orders, contracts and partner applications;

• providing customer service, support, warranty and after-sales;

• operating, maintaining and improving the website and our chat assistant;

• fraud prevention, network and information security;

• marketing communications you have agreed to receive;

• complying with our legal, regulatory and accounting obligations;

• establishing, exercising or defending legal claims.

8Who we share your data with

We share your personal data only where necessary, and never sell, rent or trade it for unrelated marketing.

Service providers (data processors), each under written data-processing agreements compliant with Art. 28 UK GDPR:

• Hostinger International Ltd — website hosting & email infrastructure.

• Resend Inc. — transactional email delivery (forms and chat transcripts).

• Groq Inc. — AI inference for the website chat assistant (only the messages you type are sent — no contact details).

• Google LLC — analytics (only after you accept analytics cookies).

Professional advisers (lawyers, accountants, auditors, insurers) under professional confidentiality.

Banks and payment processors for processing customer payments.

Strategic partners — where we have introduced you on a joint deal with our technology partner SEER Robotics (or vice versa) and you have asked to be introduced. We will tell you when this is happening.

Regulators and law enforcement — where we are legally required, under court order, or to protect rights, property and safety.

A buyer or successor — if we sell, restructure, or merge our business, your data may be transferred. We will require any successor to honour the protections in this notice.

9Cookies and similar technologies

Our website uses cookies and similar technologies as defined under PECR. We will not set non-essential cookies on your device unless you give us your consent through our cookie banner, which appears on your first visit and which you can change at any time by clearing your browser cookies for this site and reloading.

Categories of cookies we use:

Strictly necessary — required for security, load-balancing and your cookie-consent state. Always on. Examples: `flywei_cookie_consent`. Lawful basis: legitimate interest (these are essential to deliver the service you request).

Analytics — help us understand which pages are useful and how visitors find us. Set only after you accept. Provider: Google Analytics 4 (anonymised IP, no cross-site tracking).

Functionality — remember preferences such as language. Set only after you accept.

Marketing / advertising — currently not used. We will update this notice and re-prompt you for consent before introducing any.

You can withdraw or change your consent at any time. Most browsers also let you block or delete cookies — see your browser's help section. Blocking strictly-necessary cookies will break parts of the website.

10International transfers of your data

Some of our service providers (for example, Resend Inc., Groq Inc., Google LLC) are located outside the UK, including in the United States. Whenever we transfer personal data outside the UK we ensure a similar degree of protection by relying on at least one of the following safeguards:

• transfers to countries the UK Government has determined provide adequate protection (an "adequacy regulation");

• the UK International Data Transfer Agreement ("IDTA") or the EU Standard Contractual Clauses with the UK Addendum, which contractually require the recipient to apply UK-equivalent protections; or

• in the case of the United States, the UK Extension to the EU-US Data Privacy Framework, where the recipient is certified.

11How long we keep your data

We keep personal data only for as long as we need it for the purposes for which we collected it, unless a longer period is required by law:

Customer & supplier transaction records — 7 years from end of the financial year of the transaction (HMRC requirement; longer where a dispute is live).

Contract documents and partner agreements — for the duration of the agreement plus 6 years (limitation period for contract claims under the Limitation Act 1980).

Enquiry, quote and chat-transcript data — up to 24 months from last contact, then anonymised.

Marketing data — until you withdraw consent or opt out, plus 30 days for our suppression-list audit trail.

Cookie consent records — 12 months from the date of consent, then re-prompted.

Website log data — typically 90 days for security analysis, then aggregated.

When a retention period expires, data is securely deleted or irreversibly anonymised.

12Security

We implement appropriate technical and organisational measures (Art. 32 UK GDPR) including encryption in transit (HTTPS/TLS), restricted-access cloud hosting, role-based access controls, multi-factor authentication for administrative accounts, secure backups, and regular reviews of our supplier security posture.

Despite these measures, no internet transmission is ever fully secure. You are responsible for keeping any access credentials we issue to you confidential. If you suspect unauthorised access to your account, please notify us immediately at sales@flywei.co.uk.

In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours of becoming aware (Art. 33 UK GDPR) and, where the risk is high, also notify you directly without undue delay.

13Your rights under UK GDPR

You have the following rights, free of charge, in relation to your personal data:

Right of access (Art. 15) — to receive confirmation of whether we process your data, and a copy of it.

Right to rectification (Art. 16) — to have inaccurate or incomplete data corrected.

Right to erasure (Art. 17) — to ask us to delete your data in certain circumstances (sometimes called the "right to be forgotten").

Right to restrict processing (Art. 18) — to limit how we use your data while a dispute is resolved.

Right to data portability (Art. 20) — to receive the data you provided to us in a structured, machine-readable format.

Right to object (Art. 21) — to object to processing based on legitimate interests, and to object at any time to direct marketing.

Right to withdraw consent (Art. 7(3)) — where processing is based on consent, you may withdraw it at any time.

Right not to be subject to solely automated decision-making with legal effect (Art. 22) — we do not currently take such decisions; we will tell you if this changes.

How to exercise your rights: email sales@flywei.co.uk from the address you used with us, or write to the registered office. We will verify your identity, respond within one calendar month (Art. 12(3)), and may extend by a further two months for complex requests, telling you why.

Right to complain: you may complain to the ICO at any time — see section 17.

14Children

Our website and services are aimed at business buyers, not children. We do not knowingly collect personal data from individuals under the age of 16. If we learn we have collected such data, we will delete it promptly. If you are a parent or guardian and believe your child has provided us with personal data, please contact sales@flywei.co.uk.

15Third-party websites

Our website may contain links to third-party websites, plug-ins or applications (for example, our LinkedIn page, the SEER Robotics product pages we reference, partner case-study libraries). Clicking on these links may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy notices. We encourage you to read the privacy notice of every website you visit.

16Marketing communications

We will only send you marketing emails if you have opted in, or if you are an existing customer and the email is about the same or similar products and you have not opted out (the PECR "soft opt-in"). Every marketing email contains an unsubscribe link, and you can also email sales@flywei.co.uk at any time to opt out.

For B2B telephone calls and post we may rely on legitimate interests; you may object at any time and we will stop.

We do not use SMS marketing and do not currently engage in any automated profiling for marketing purposes.

17Limitations of this policy

This notice describes our current practices and is provided for transparency. It does not, and is not intended to, create or extend any contractual right, warranty, or third-party-beneficiary right beyond those required by applicable data-protection law. To the fullest extent permitted by law, our liability in connection with this notice is limited to the liability mandated by UK GDPR and the DPA 2018 — no broader.

Where our website integrates a third-party service (for example a payment processor, the Groq AI chat backend, or analytics), we are not responsible for that third party's processing of your data outside our instructions to them, but we will exercise reasonable diligence in selecting and contracting with such providers.

18Complaints to the supervisory authority

If you are unhappy with how we have handled your personal data, please tell us first by emailing sales@flywei.co.uk — we will investigate and respond.

19Changes to this policy

We may update this notice from time to time to reflect changes to our practices, our suppliers, or applicable law. The "last updated" date at the top tells you when it was most recently revised. For material changes we will notify you by email (where we hold your address) or by displaying a prominent notice on the website before the change takes effect. Continued use of the website after the change takes effect constitutes acceptance of the updated notice.
